The Aspen Institute Kyiv is seeking a Project Coordinator to join our team

Position Overview:
The Project Coordinator will manage various aspects of the educational project for teenagers, “Aspen Teens,” including organizing and coordinating events. Additionally, the coordinator will assist in organizing and coordinating events within other program areas of the Aspen Institute. This role involves active interaction with key stakeholders, international partners, civil society representatives, and collaboration with government bodies. The coordinator will work under the guidance of the Program Director and the Director of Program Development.
This position requires working in Kyiv and possibly traveling within the country.
Key Responsibilities:
- Coordinate the “Aspen Teens” project from planning to implementation, monitor key performance indicators, and prepare reports.
- Provide organizational support for events within other institute programs (e.g., “Justice, Law, and Society,” “Media and Reality,” “Good Governance Forum,” and international events).
- Ensure complete event logistics, including venue selection, coordination with service providers, and organization of transportation and other resources.
- Prepare for events (site inspection, material preparation, printing, participant registration, organizational and logistical support).
- Manage data (enter contact information, confirm participation of guests, manage participant lists).
- Provide technical support for events: create Zoom links, support online broadcasts, and prepare recordings.
- Handle various inquiries and prepare basic documentation (letters, email distribution, telephone communication, postal dispatch/receipt of correspondence and other shipments, translation/editing of texts).
- Interact with speakers, moderators, and participants for adequate event planning and implementation.
- Prepare reports, project documentation, and informational materials.
- Plan project budgets and control expenses.
- Assisted in preparing grant applications for new institute programs and prepared reports on grant application fulfillment.
What we expect from the candidate:
- At least 1 year of experience in project management.
- Proficient in digital tools for project work (Google Drive, Zoom, Slack, Notion, etc.).
- Excellent oral and written communication skills.
- Fluent in Ukrainian and English (Upper-Intermediate (B2) level or higher).
- Strategic thinking and leadership skills.
- Experience in preparing grant applications and collaborating with partners and donors.
